How to plan a trip
Building a day-by-day itinerary without overloading it
A good itinerary isn't the fullest one, it's the smoothest. Here's how to build a plan that holds up on the ground.
First list everything you want to see, then rank each wish as 'must-do', 'if possible' or 'bonus'. Place the must-dos on a map, group those that are close together for the same day, and limit yourself to one major site plus one or two minor ones per day. Always keep a free half-day for every three days: it's what saves the trip when something unexpected comes up.
01Chapter 1
List then prioritise your wishes
It all starts with a raw, unfiltered wish list. Note everything: places, activities, neighbourhoods, experiences. Only then do you prioritise. Separate the true must-dos (the ones you're making the trip for) from the rest: that sorting is what prevents overload.
02Chapter 2
Group by area and pace the rhythm
Then think geographically, not as a list. Place each wish on a map and group what's close: doing places in the same neighbourhood on one day saves hours of transit. A geographically optimised itinerary frees up real time on the ground.
Pace yourself. A major site often takes half a day on its own. Aim for one 'big' item per day, rounded out with light things (a walk, a coffee, a market). Alternate intense and quiet days: the brain saturates and fatigue spoils even the finest places.
Avoid
A minute-by-minute plan breaks at the first hiccup. Plan the blocks (morning / afternoon) and leave the detail open.
03Chapter 3
Keep some flexibility
Finally, build in deliberate flexibility. Weather, a sudden favourite, tiredness, an unexpected closure: you need a buffer. A spare half-day every three days, plus a list of 'bonuses' to pull out if timing allows, beats a minute-by-minute plan.
✓List every wish before sorting them
✓Prioritise: must-do, if possible, bonus
✓Group nearby places on the same day
✓Alternate intense and quiet days
✓Keep a free half-day every 3 days
✓Prepare a bonus list for free time
Pacing benchmarks
| Benchmark | Value |
|---|---|
| Major sites / day | 1 (+ 1-2 light ones) |
| Free margin | ≈ 1 half-day / 3 days |
| Grouping logic | By neighbourhood / proximity |
| Book ahead | Popular sites in high season |
| Avoid | Changing location every day |
Frequently asked questions
How many visits per day is reasonable?
One major site (museum, monument, park) plus one or two light activities. Beyond that, you rush without enjoying it and fatigue builds up, especially on a long trip.
Should you plan every hour?
No. Plan the blocks (morning / afternoon) and fixed-time bookings, but leave the detail open. A minute-by-minute plan breaks at the first hiccup.
How do you handle several cities in one trip?
Minimise base changes: stay at least 2-3 nights per place. Each move costs a half-day in logistics and fatigue. Group cities by geographic coherence.
